This AI Usage Policy ("Policy") describes how Automatan's artificial intelligence and machine learning capabilities function within the Service, the responsibilities of customers who use those capabilities, and the standards Automatan applies to the development and deployment of AI within the platform. Responsible and ethical use of AI is a shared priority between Automatan and its customers.
This Policy forms part of the Automatan Terms of Service and should be read together with the Acceptable Use Policy, the Privacy Policy, and the Data Processing Addendum. Capitalized terms used but not defined in this Policy have the meanings given to them in the Terms of Service.
1. SCOPE
This Policy applies to all AI-powered features and functionality within the Service, including automated analysis, classification, summarization, transformation, recommendation, and any other feature that uses machine learning or large language model technology to generate Outputs from Customer Data.
This Policy applies to all customers, Authorized Users, and end users who access or interact with AI-powered features of the Service.
2. HOW AUTOMATAN USES AI
2.1 AI-Powered Functionality
The Service uses artificial intelligence and machine learning technologies, including large language models, to process Customer Data and generate Outputs. These technologies enable the Service to perform tasks including but not limited to:
- analyzing, summarizing, and transforming data submitted by customers;
- generating structured outputs, classifications, scores, and recommendations;
- automating workflows and processing inputs through configured pipelines; and
- enabling natural language interaction with platform features.
2.2 Third-Party AI Models
Automatan may use third-party AI model providers to power certain features of the Service. Where third-party models are used, they are operated as subprocessors subject to Automatan's Data Processing Addendum and the confidentiality and security obligations of the Terms of Service. A current list of AI model subprocessors Subprocessor List is available upon request by contacting legal@automatan.ai or as described in the Data Processing Addendum.
2.3 Model Updates
Automatan may update, replace, or modify the AI models and systems used to power the Service from time to time, including to improve performance, address safety issues, comply with applicable law, or respond to changes in third-party model availability. Automatan will use commercially reasonable efforts to maintain the quality and consistency of Outputs following any such change.
3. OUTPUTS - NATURE AND LIMITATIONS
Outputs generated by the Service are produced by automated systems and must not be used as the sole basis for any consequential decision. Human review and judgment are required before acting on any Output.
3.1 AI-Generated Outputs
Outputs generated by the Service are produced by automated systems and are inherently probabilistic in nature. They are based on patterns in training data and the specific inputs provided by Customer. The accuracy, reliability, and suitability of Outputs may vary depending on the type of task, the quality and completeness of inputs provided, and the domain in which they are used. Outputs relating to complex, sensitive, or specialized domains - such as legal, medical, financial, or compliance matters - are particularly prone to inaccuracy and should be treated with heightened caution.
3.2 Limitations of Outputs
Customer acknowledges and accepts that Outputs:
- may be inaccurate, incomplete, outdated, or contextually incorrect;
- may reflect biases present in underlying training data;
- may not be unique - the Service may generate the same or similar Outputs for different customers;
- are not a substitute for professional judgment, expert review, or human decision-making; and
- should not be relied upon as the sole basis for any consequential decision.

3.3 No Professional Advice
Outputs do not constitute legal, regulatory, financial, medical, compliance, employment, or other professional advice. Outputs are provided for informational and analytical purposes only. Customers requiring professional advice should consult a qualified professional independently of the Service.
3.4 Customer Responsibility for Outputs
Customer is solely responsible for:
- reviewing, validating, and verifying all Outputs before use or reliance;
- ensuring that Outputs are appropriate for Customer's intended purpose;
- ensuring that any decisions made using or informed by Outputs comply with applicable law; and
- not relying on Outputs as the sole basis for any legal, compliance, financial, hiring, medical, or other consequential decision.
4. RESPONSIBLE USE OF AI FEATURES
4.1 Human Oversight
Customer is responsible for maintaining appropriate human oversight of AI-generated Outputs, particularly where those Outputs inform decisions that affect individuals' rights, safety, employment, access to services, or financial standing. Automatan does not assume responsibility for decisions made by Customer based on Outputs without appropriate human review.
4.2 High-Risk Use Cases
Customer must not use AI-powered features of the Service to make fully automated consequential decisions in high-risk domains without appropriate human oversight where required by applicable law. High-risk domains include but are not limited to:
- employment, hiring, performance evaluation, or termination decisions;
- credit, lending, or insurance underwriting;
- healthcare diagnosis, treatment recommendations, or clinical decisions;
- housing allocation or tenancy decisions;
- educational assessment or academic evaluation;
- immigration or asylum determinations;
- law enforcement or criminal justice applications; and
- access to essential public or government services.
Where Customer uses the Service in any high-risk domain, Customer is solely responsible for ensuring compliance with all applicable laws and regulations governing automated decision-making in that domain, including where required implementing meaningful human review of Outputs before any decision is made.
4.3 Sensitive Data
Customer must not submit to the Service special category personal data, sensitive personal data, or any data that is subject to enhanced regulatory protection - including health data, biometric data, genetic data, financial account credentials, government identification numbers, or data relating to criminal convictions - unless expressly permitted under a separate written agreement with Automatan.
4.4 Accuracy and Verification
Customer acknowledges that AI systems can produce outputs that appear plausible but are factually incorrect. Customer must independently verify any Output that will be used to inform a material business, legal, compliance, or operational decision. Automatan will not be liable for any loss arising from Customer's failure to verify Outputs.
4.5 Disclosure of AI-Generated Content
Where Customer uses Outputs in communications, reports, or materials directed at third parties, Customer is responsible for ensuring compliance with any applicable legal or regulatory requirements relating to the disclosure of AI-generated content, including any requirements to identify content as AI-generated.
5. WHAT AUTOMATAN DOES NOT DO WITH CUSTOMER DATA
5.1 No Training on Customer Data
Automatan does not use identifiable Customer Data to train, fine-tune, or develop general machine learning or artificial intelligence models. Automatan may use aggregated or de-identified data derived from platform usage for analytics, product improvement, and service development, provided that such data cannot reasonably be used to identify Customer or any individual.
5.2 No Unauthorized Disclosure
Automatan does not disclose Customer Data to third-party AI model providers beyond what is necessary to generate the requested Output in connection with providing the Service. Any such disclosure is subject to the confidentiality and data protection obligations set out in the Terms of Service and Data Processing Addendum.
5.3 No Sale of Customer Data
Automatan does not sell, rent, or otherwise make Customer Data available to third parties for their own purposes.
6. AI SAFETY AND CONTENT STANDARDS
6.1 Content Moderation
Automatan implements technical and operational measures designed to prevent the Service from generating outputs that are illegal, harmful, abusive, or otherwise in violation of Automatan's Acceptable Use Policy. These measures include content filtering, output monitoring, and safety controls built into the platform and any third-party models used within the Service.
6.2 Circumvention Prohibited
Customer must not attempt to circumvent, disable, or bypass the content moderation systems, safety controls, or output filters built into the Service. This includes prompt injection, adversarial inputs, jailbreak attempts, or any other method designed to cause the Service to generate prohibited outputs. Circumvention attempts will be treated as material breaches of the Terms of Service.
6.3 Reporting Harmful Outputs
If Customer encounters an Output that appears harmful, illegal, or inconsistent with this Policy, Customer should report it to Automatan at safety@automatan.ai. Automatan will investigate and take appropriate action.
7. TRANSPARENCY
7.1 AI Disclosure
Automatan is committed to transparency about the use of AI within the Service. Where AI is used to generate an Output, Automatan will make this clear through the Service interface or Documentation.
7.2 Explainability
Automatan does not guarantee that the reasoning underlying any specific Output can be fully explained. The nature of large language model technology means that the basis for specific outputs may not be fully deterministic or auditable. Customers requiring explainability for regulatory or compliance purposes should assess whether the Service is appropriate for their specific use case before use.
7.3 Known Limitations
Automatan will use commercially reasonable efforts to document known limitations of the Service's AI features in the Documentation and will update such documentation as material limitations are identified.
8. COMPLIANCE WITH AI REGULATIONS
8.1 Customer Compliance Obligations
Customer is solely responsible for assessing whether its use of the Service complies with applicable AI-specific laws and regulations in Customer's jurisdiction, including but not limited to the EU AI Act, applicable U.S. federal and state AI regulations, and any sector-specific requirements governing the use of automated decision-making systems in Customer's industry.
8.2 Automatan's Compliance Efforts
Automatan will use commercially reasonable efforts to maintain the Service in a manner consistent with applicable AI regulations as they develop and come into force. Where required by applicable law, Automatan will implement or support the implementation of technical and organizational measures designed to facilitate Customer's compliance obligations.
8.3 High-Risk AI Systems
Where Customer's use of the Service constitutes or forms part of a high-risk AI system as defined under applicable AI regulation, Customer is solely responsible for fulfilling all obligations applicable to the deployer or operator of such system, including conformity assessments, transparency requirements, and human oversight obligations. Automatan's provision of the Service does not constitute a representation that the Service satisfies any specific regulatory classification or certification requirement.
9. CHANGES TO AI FEATURES AND MODELS
Automatan may add, modify, suspend, or discontinue AI features or change the underlying models used to power the Service at any time, where reasonably necessary for technical, safety, legal, or operational reasons. Automatan will use commercially reasonable efforts to provide advance notice of material changes to AI features where such changes are likely to materially affect Customer's use of the Service. Automatan will not be liable for changes to Output quality or availability resulting from updates to third-party AI models outside Automatan's reasonable control.
10. RELATIONSHIP WITH OTHER POLICIES
This Policy should be read together with:
- Terms of Service, which governs Customer's access to and use of the Service generally;
- Acceptable Use Policy, which sets out prohibited uses of the Service including AI-specific prohibitions;
- Privacy Policy, which describes how Automatan handles personal data; and
- Data Processing Addendum, which governs Automatan's processing of personal data on behalf of Customer.
In the event of a conflict between this Policy and the Terms of Service, the Terms of Service govern except where this Policy expressly addresses AI-specific obligations, in which case this Policy governs with respect to those obligations.
11. UPDATES TO THIS POLICY
Automatan may update this Policy from time to time to reflect changes in the Service, applicable law, or AI regulation. When changes are made, the updated version will be posted on the Automatan website and the "Last Updated" date will be revised. Continued use of the Service after changes become effective constitutes acceptance of the updated Policy. Material changes will be communicated in accordance with the Terms of Service. Where changes are material, Automatan will provide at least thirty (30) days' notice by email to the address associated with Customer's account before the updated Policy takes effect.
